About Project:
Recruitment can be a complex and fragmented process — especially when initiated across departments and involving multiple approval layers, resume evaluations, and manual coordination between HR and hiring managers. To streamline this, we built a fully automated hiring workflow for a leading FMCG client, integrating Make.com, Airtable, ClickUp, and OpenAI into a seamless, end-to-end system.
The automation begins when any department’s line manager submits a hiring request via a structured form. This request triggers a task in ClickUp, automatically assigned to both the department head and the HR head for approval. Upon approval, HR is notified to proceed with the hiring process.
Make.com fetches the submitted form data from Airtable and passes it to OpenAI to generate a detailed, role-specific job description. The completed job description is stored back in Airtable, and a dynamic candidate form is generated for use in public job ads. Its link is updated in the same ClickUp task for HR to publish.
Once candidates begin submitting resumes through this form, the automation kicks off another flow: a new sub-task is created in ClickUp for each resume, and the resume is sent to OpenAI via Make.com for scoring and analysis. Based on the AI evaluation, candidates are tagged (e.g., Longlisted, High Score, Low Score), and the insights are stored in Airtable to assist HR in shortlisting.
